Privacy Policy

How Saarathi Academy collects, uses, stores, and protects your personal information across the website, the learner workspace, classes, recordings, and payments.

Effective date: 27 May 2026. This policy applies to the marketing website at saarathiacademy.com.np and the learner workspace at app.saarathiacademy.com.np, both operated by Saarathi Academy For Digital Excellence Pvt. Ltd., Old Baneshwor, Kathmandu.

It explains what personal information we collect, why we collect it, how we use and share it, how long we keep it, the security we apply, and the choices you have at every step.

1. Who we are

Saarathi Academy For Digital Excellence Pvt. Ltd. (“Saarathi Academy”, “we”, “us”) is a private limited company registered in Nepal with its principal office at Old Baneshwor, Kathmandu. We are the controller of the personal information described in this policy. For privacy enquiries, write to [email protected].

2. Information you give us

  • Inquiry & admission details: name, email, phone number, address, date of birth, gender, education and work background, programs of interest, the answers you submit to the Saarathi Gate Assessment, and any documents you upload such as a CV or ID for verification.
  • Account profile: the display name, profile photo, and contact details you maintain inside the learner workspace after you enrol.
  • Payments: billing name, the program you paid for, the amount, the payment method used, and PAN or VAT identifiers if you request a tax-compliant receipt. We do not store full card numbers, CVV codes, or banking credentials. Card and wallet data is handled directly by the licensed payment gateway you choose at checkout.
  • Coursework: assignments, projects, capstone work, code commits, in-class poll answers, and any feedback you send through our forms.
  • Communications: the content of emails, chat messages, WhatsApp conversations, and call summaries you exchange with our team.

3. Information we collect automatically

  • Device & usage data: IP address, browser type and version, device type, operating system, referring URL, the pages you view, the time you spend on each page, and the actions you take in the workspace.
  • Cookies and similar technologies: we use cookies and local storage to keep you signed in, remember preferences, and measure marketing performance. See our Cookie Policy for the full list.
  • Class attendance and recordings: when you join a live class on Google Meet, the session records your join and leave times. Recordings (audio, video where you have enabled your camera, screen-shares, and the chat transcript) are stored in Google Drive and shared with enrolled batch members only.
  • Assessment metadata: attempt timestamps, time per question, and the integrity signals we use to detect fraud.

4. Information from third parties

  • Google sign-in: when you sign in with Google we receive your name, email address, profile picture, Google user ID, and (only after your explicit consent) the Google Calendar, Drive, and Meet scopes needed to invite you to class events and share recordings. We never read your personal Gmail, Drive, or Calendar content outside Saarathi-owned files and events.
  • Referrals: if you were referred to us, we receive the referrer’s details alongside your name.
  • Marketing platforms: aggregated campaign attribution from Meta Pixel and Google Ads which tells us which ad you clicked, not who you are personally, until you submit an inquiry.

5. How we use your information

  • Deliver, personalise, and improve our courses, classes, and the learner workspace.
  • Run the admission flow including the Saarathi Gate Assessment, batch placement, and seat allocation.
  • Issue invoices and receipts, reconcile payments, and meet our tax and accounting obligations under Nepali law.
  • Send class reminders, schedule changes, assignment feedback, and other operational messages by email, SMS, WhatsApp, push notification, and in-app alerts. Operational messages are not opt-out because they are required to deliver the course.
  • Send marketing and event updates by email or SMS only after you have opted in or actively enquired about a program. You can opt out at any time using the unsubscribe link in every marketing email or by replying STOP to a marketing SMS.
  • Monitor and improve site security, prevent fraud, debug technical problems, and enforce our Terms of Service.
  • Produce anonymised, aggregated statistics for reporting, research, and case studies. Aggregated data never identifies you individually.
  • Contract: to deliver the course you enrolled in and the services described in our Terms.
  • Consent: for marketing communications, optional analytics cookies, and Google Workspace scopes beyond basic profile.
  • Legal obligation: tax invoicing, accounting records, and lawful requests from competent authorities.
  • Legitimate interest: protecting our infrastructure, preventing fraud, improving our products, and operating our business, balanced against your rights.

7. How we share your information

We share information only as described below. We do not sell personal information to anyone.

  • Mentors and trainers: instructors assigned to your batch see your name, contact details, attendance, assignment submissions, and assessment results so they can teach and grade you.
  • Service providers: Google Workspace (Calendar, Drive, Meet, Gmail) for classes and recordings, payment gateways for transactions, SMS gateways (including the Aakash SMS white-label) for messaging, hosting and infrastructure vendors, and error and performance monitoring tools. They process data only on our instructions under contractual confidentiality.
  • Cohort visibility: within a batch, fellow students may see your display name and profile photo in shared documents, project repositories, and the Meet roster. Sensitive personal details such as phone number, address, and assessment scores are not shown to peers.
  • Legal disclosures: we may share information when required by Nepali law, a valid court order, or to protect the rights, property, or safety of Saarathi Academy, our students, or the public.
  • Business transfers: if Saarathi Academy is involved in a merger, acquisition, or sale of assets, your information may be transferred under the same privacy commitments described here.

8. International transfers

Several of our service providers, Google Workspace in particular, store and process data on servers located outside Nepal. By using Saarathi Academy you understand that your personal information may be transferred to and processed in jurisdictions whose data protection laws differ from Nepal’s. We require all such vendors to apply industry-standard safeguards.

9. Data retention

  • Active learners: we retain your account and academic records for the duration of your enrolment and for three (3) years after your last batch ends, so you can request transcripts and access to recordings.
  • Payment records: financial records are kept for at least five (5) years to comply with Nepali tax and accounting law.
  • Inquiry data without enrolment: kept for up to twenty-four (24) months unless you ask us to delete it sooner.
  • Recordings: class recordings are stored for the lifetime of the program plus one (1) year, after which they may be archived or deleted.

10. Security

We protect your information with encrypted transport (HTTPS), encrypted database backups, hashed credentials, role-based access controls, audit logs, and an internal allowlist for administrative access. No system is perfectly secure, so if we ever experience a breach that materially affects you, we will notify you and the relevant authorities as required by law.

11. Your rights

You can ask us at any time to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or out of date.
  • Delete your account and information, subject to records we are legally required to keep, such as paid invoices.
  • Export a copy of your data in a portable format.
  • Withdraw consent for marketing communications or optional cookies.
  • Revoke our Google Workspace access at any time from your Google account permissions page.

12. Children

Our programs are designed for learners aged sixteen (16) and older. If you are under eighteen (18), you must enrol with the consent and counter-signature of a parent or legal guardian. We do not knowingly collect information from anyone under sixteen. If you believe a minor has provided us information without consent, contact us and we will delete it.

Our website and workspace may link to third-party sites such as GitHub, Vercel, payment gateways, or partner companies. Those sites operate under their own privacy policies. We are not responsible for their practices and encourage you to read them.

14. Changes to this policy

We may update this policy when our services, partners, or applicable laws change. The “Effective date” at the top reflects the latest revision. For material changes we notify enrolled learners by email and post a banner on the site at least seven (7) days before the change takes effect.
